This “how to” session will provide tangible strategies for various phases of content management system (CMS) planning and implementation. Patrick Waychoff of Hewlett-Packard’s Information Engineering, StorageWorks Division, will demonstrate practical technique proven results through its partnership with Vasont Systems. The six “how to’s” include:  

·          How to research CMS. Finding the right tools for assessing needs and collecting information – literature, product evaluation (authoring, CMS, publishing), survey to network with other groups or companies, matrix for analyzing options.

·          How to conduct a cost/benefit analysis. Establishing viable pilots and calculating costs against potential savings and benefits over time, preparing ROI charts, weighing metrics for cost calculations.

·          How to sell the CMS? Preparing for the “pitch” and establishing the right level of detail – sense of urgency, hierarchy of needs, initial requirements, convey urgency/needs to management, develop presentation.

·          How to engage your team. Establishing processes and organizational structure that support CMS implementation – pilots, steering committee, new roles and ownership (CMS structure, writing guidelines, content mapping) criteria for product readiness, checklists, training options, establishing best practices.

·          How to demonstrate cost savings? Processes and procedures that facilitate ongoing data collection – methodology for measure, baseline project analyses, projections versus actual, documentation set consolidation, dashboard reviews, rollup spreadsheets (word counts, translated languages) and reports.

·          How to provide status on CMS progress? Providing meaningful updates (spreadsheets and presentations) on advancements and lessons learned.

Audience members will not only get a descriptive case study at various stages of planning and implementation, but also they will receive takeaway tools – spreadsheets for analyses and calculations, survey questions, checklists, presentation outlines and samples, and best practices that they can customize for use in their own business environment.  

Presenter Bio:
Patrick Waychoff is an information management planning manager at Hewlett Packard Company in Colorado Springs, CO. He currently is leading the single-sourcing vision and strategy for the StorageWorks Division Information Engineering group. Prior to HP, he spent 12 years working in the aerospace/defense industry as a writer, technical trainer, project lead, and manager supporting satellite systems. At HP (formerly Digital and Compaq) he has primarily served as the information architect, developing the storage product documentation single sourcing strategy. Pat holds a BA in Science with a technical writing option from Penn State University and is completing his MA in Organizational Management from the University of Phoenix.
